AI and Your Inbox: How Safe Are Your Emails?

  • Enterprise AI (e.g. Microsoft Copilot, Google Gemini, ChatGPT Enterprise): Built for business use. They operate within secure corporate ecosystems, offer Data Processing Agreements, and are backed by compliance frameworks that align with GDPR obligations.

At first glance, enterprise solutions feel like the answer. They undoubtedly reduce the risks around confidentiality and data protection – but they don’t eliminate them.

 

Why Safer Doesn’t Mean Risk-Free

Even with enterprise-grade AI, responsibilities don’t disappear:

 

  • GDPR remains your responsibility. As the data controller, you must still decide what data is processed, ensure it’s necessary and proportionate, and inform clients how their information will be handled.
  • Confidentiality can’t be outsourced. Just because the tool is secure doesn’t mean every email should be processed. Professional judgement is still needed.
  • Human error is the weakest link. Inputting the wrong information into an AI system is no different to sending an email to the wrong address – the wrapper might be secure, but the mistake is still yours.

Put simply: enterprise AI reduces risk, but does not remove it.
